Candidate Engagement
Gia keeps every candidate in the loop. You focus on the ones who matter.
Automated outreach, follow-up, and status updates across email, SMS, and LinkedIn. No candidate falls through the cracks because someone forgot to send a message.
Multi-Channel Outreach
Gia reaches candidates via email, SMS, and WhatsApp — choosing the channel most likely to get a response based on prior engagement history and candidate preferences.
Stage-Triggered Status Updates
Candidates receive an update at every pipeline stage change — shortlisted, interview scheduled, offer pending — without the recruiter writing a single email.
Engagement Scoring
Every candidate interaction is tracked — open rate, reply rate, response time — so Gia knows who is warm and who needs a different approach before the next outreach attempt.
Branded Candidate Experience
Every message sent uses your company name and tone — not a generic ATS email. Candidates see a professional, consistent experience from first contact to offer.
What is Candidate Engagement?
Candidate Engagement is candidate outreach automation software that delivers personalised messages to candidates across email, SMS, and WhatsApp, handles replies automatically, and keeps every candidate informed throughout the hiring process without recruiter intervention.
How it works
How Gia manages candidate communication
Candidates fall through the cracks because someone forgot to send a message
Gia sequences outreach across email, SMS, and LinkedIn at every pipeline stage - automatically
Every candidate gets a response. No candidate falls through the cracks
Initial outreach
When a candidate applies or is sourced, Gia sends an immediate acknowledgement and, where a GIA Loop is configured, the assessment invitation.
Assessment & follow-up
If a candidate doesn't respond to the first call, Gia follows up via SMS and email - sequenced over a configured window.
Status updates
Candidates are notified at each pipeline stage - shortlisted, advanced to interview, declined - automatically and on your company's behalf.
Re-engagement
Candidates who weren't hired are retained in the talent pool. When a new matching role opens, Gia re-engages them without a recruiter manually searching.
How it looks
What happens end to end
What Gia does
What you see
No candidate goes dark because the recruiter was working on another role. Gia sends the right message at the right stage automatically.
Platform
How Candidate Engagement connects to the platform
Outreach sequences are triggered alongside the assessment call.
Engagement sequences are built into the loop - configured once, runs automatically.
Candidates who go quiet are retained and re-engaged when a new role matches.
Engagement rates and channel performance tracked in real time.
During the interview process
Keep candidates warm while your team evaluates them.
| Interview stage | Gia's engagement action | Without this action |
|---|---|---|
| Application assessed — moving to interview | Gia sends a shortlist notification: 'You have been selected for the next stage. Here is what to expect and when you will hear from us.' | Candidate waits without context, assumes silence means rejection, starts accepting other interviews |
| Interview scheduled | Gia sends full confirmation: date, time, format (video/phone/in-person), interviewer name, any preparation notes configured by the recruiter | Candidate emails in asking for the Zoom link. No-show risk increases. |
| 24 hours before interview | Reminder sent automatically — no recruiter action required | No-show rate increases. Candidate goes to the interview without preparation context. |
| Post-interview — decision pending | Gia sends a status update: 'Thank you for speaking with us. We are currently evaluating and will be in touch by [configured date].' | Candidate accepts a competing offer while waiting for a response they never received |
| Decision delayed beyond configured window | Recruiter receives an alert: 'Candidate [name] for [role] has not received a status update in [X] days. Decision pending.' | Recruiter forgets to follow up. Candidate interprets silence as rejection. |
| Offer stage — preparation | Gia sends a message: 'We have exciting news — expect to hear from [company] in the next [X] days. Let us know if your situation has changed.' | Candidate is not warmed before the offer call. Competing offer accepted before your offer is made. |
Mid-process engagement messages are sent via email, SMS, and WhatsApp — the same channels as top-of-funnel engagement. For marketplace candidates, in-app messaging is also available as a channel during the interview process.

FAQ
Frequently asked questions
Gia sends messages on behalf of your company — using your company name, your role title, and your configured message templates. Candidates see your company's recruiting assistant, not Gigin. The Gigin brand does not appear in candidate-facing messages unless you choose to include it.
Yes. Every message template — acknowledgement, follow-up, confirmation, update, rejection — is configurable. You set the tone, the language, and the content. Gia fills in the role-specific and candidate-specific details automatically.
Gia respects opt-outs immediately and automatically. When a candidate replies 'stop,' 'unsubscribe,' or an equivalent phrase via any channel, Gia stops all outreach to that candidate and marks them as opted out in the pipeline. The recruiter does not need to track this manually.
Gia handles common responses — confirmation of interest, scheduling requests, availability questions — automatically. For questions Gia cannot interpret or answer, it flags the message to the recruiter for manual response and notes it in the candidate workspace.
Yes. Every message sent and every response received is logged in the candidate's workspace in the Hiring Suite. The full engagement history — channels used, messages sent, responses received, and timestamps — is visible to any team member with access to that candidate's record.
Gia's email outreach includes unsubscribe mechanisms compliant with CAN-SPAM requirements. SMS outreach is consent-based — candidates who have applied or been sourced have entered a recruiting relationship with your company. Your legal team should review your specific outreach use case against applicable state-level regulations for your industry.
Candidate engagement in Gigin is triggered by a candidate's own action — they applied, they were sourced, or they were added to your talent pool following a previous interaction. Every message is role-specific and personalised. Opt-out is immediate and automatic. The engagement is a continuation of a recruiting relationship the candidate initiated, not unsolicited contact.
